Front desk – Welding Training Programs

Full job description

Top Weld Training is looking for a dedicated and professional Front Desk Receptionist to be the welcoming face of our training and consulting center. This role is essential to maintaining smooth office operations while delivering excellent client service. The ideal candidate is organized, detail-oriented, and thrives in a fast-paced environment.

Key Responsibilities
  • Greet and assist clients and visitors, creating a warm and professional first impression
  • Answer and manage incoming calls with outstanding phone etiquette
  • Schedule appointments, handle inquiries, and provide accurate information about services
  • Perform accurate data entry and maintain up-to-date records
  • Manage billing and invoicing using QuickBooks (training provided if needed)
  • Organize and maintain both paper and digital files
  • Complete general clerical tasks: copying, scanning, and faxing
  • Collaborate with other departments to ensure operational efficiency
  • Use Google Suite (Docs, Gmail, Sheets, etc.) for daily administrative tasks
  • Support office needs with flexibility and a team-focused attitude
  • Participate in student information sessions and presentations to promote enrollment in Top Weld’s welding programs
  • Conduct presentations and provide information to prospective students inquiring about welding programs
  • Explain the importance of enrolling in welding programs and how the training can enhance career opportunities for prospective students
Required Skills & Qualifications
  • Strong communication and interpersonal skills
  • Excellent organizational and time management abilities
  • Professional phone etiquette and customer service focus
  • Experience in clerical or front desk roles
  • Familiarity with standard office equipment and systems
  • Basic knowledge of QuickBooks is an asset (training can be provided)
  • Proficiency with Google Suite (Gmail, Docs, Calendar)
  • Knowledge of welding or skilled trades is a plus, but not required
  • Willingness to learn and adapt in a dynamic training environment
